Signs you need this playbook
- New starters ask the owner the same questions every time.
- Logins and access are set up on day one, or day three.
- Two people doing the same job do it two different ways.
- How the job is done lives in one person's head.
The 5 steps
-
1Send the first-day details
Send the first-day details before day one, so nobody arrives confused.

5Ask what was unclear and update the notes
Compare totals with last period. Big jumps are usually errors.

Common mistakes
Nothing before day one
A short message with where to go, when, what to bring and who will meet them removes most first-day confusion.
Showing instead of writing
A walkthrough is good. A walkthrough plus a written checklist they can follow tomorrow is much better.
Doing it for them
Let them do the task with the checklist while you watch. That is where the gaps in your notes show up.
Never updating the notes
Ask what was unclear at the end of week one and fix the checklist straight away.
Questions owners ask
What should be on a new employee onboarding checklist?
At minimum: first-day details sent in advance, accounts and access ready, a walkthrough of the first real task, a written checklist for that task, and a review at the end of the first week. Add any legal or safety items your industry needs.
How long should onboarding take in a small business?
It depends on the role. A useful test is not a number of days but whether the person can do their core tasks without asking. Track the questions they still ask; each one is a gap in your notes.
Can AI help with employee onboarding?
Yes. It can turn rough notes or a recorded walkthrough into a clear step-by-step guide, and it can help you spot steps that are unclear. Keep personal and HR details out of tools that are not approved for them.
Do I need onboarding software?
Not to start. A shared document per task is enough. Training and checklist tools help once you are hiring regularly or have several roles to document.
